How to run a garage or auto workshop on Odoo.

What standard Odoo gives you — and where it stops
Odoo's native Fleet module is a solid place to start — it tracks vehicles, owners, and basic maintenance records well. Odoo's inventory and invoicing are as strong as anything in the market: real stock, real accounting, real tax handling. What standard Odoo does not have is the operational heart of a repair shop. There is no repair-order workflow that moves a job through intake, inspection, approval, and delivery in a controlled sequence. There is no digital vehicle inspection that turns a technician's findings into billable labour. And there is no estimate-approval loop — which is exactly where most garages lose the day, chasing a customer for a yes on a job that is already up on the lift.

The workflow: from intake to handover
- 1. Booking becomes a job. A customer books online, or reception schedules the slot — either way, it lands as a draft repair order with the vehicle, the customer, and the reported problem already attached. Nobody re-types anything at intake.
- 2. Intake starts with a digital inspection. The technician runs a Digital Vehicle Inspection on a tablet — photos of the tyres, the brakes, the leak underneath the sump — and every finding is logged against the vehicle, not scribbled on a card that goes missing by lunchtime.
- 3. Findings become an estimate in one click. Inspection findings push straight to labour lines, so nobody re-keys what the technician just found. The estimate goes out as a PDF or a proper sales quotation, priced and ready minutes after the inspection, not hours.
- 4. Approval without the phone tag. The customer approves the estimate with an e-signature, on-site or from their phone, so the car does not sit on the lift for a day while someone tries to reach them.
- 5. Ten states, and nothing slips through. The repair order moves through a guarded ten-state workflow from intake to delivery, with each transition checked — a job cannot jump from waiting-on-parts to invoiced because someone skipped a step.
- 6. Parts and labour, priced correctly. Parts lines consume real inventory stock, so nothing walks out of the store room unbilled. Labour lines carry tax, discounts, and warranty exclusions correctly, so a warranty job never bills a customer for covered work by mistake.
- 7. Field jobs run on the same system. Roadside and mobile work — a battery jump, an on-site inspection — runs as field-service tasks, so a technician away from the workshop still updates the same repair order everyone else sees.
- 8. Handover, with the history attached. The customer portal at /my/repairs shows live status, running totals, and one-click estimate approval — fewer are-you-done-yet calls, and a permanent per-vehicle service history that survives the next visit, the next owner, and the next insurance claim.
- 9. Insurance jobs and reminders, handled. Insurance-billed repairs follow their own billing path instead of getting mixed into cash jobs, and automated service reminders bring vehicles back for their next service without anyone keeping a diary.
What management finally sees
Because every inspection, part, and labour line lives on the repair order, management finally sees the shop the way a technician sees a car. A live KPI dashboard shows bay utilisation, jobs by stage, and turnaround time by technician. Per-vehicle service history goes back to the vehicle's first visit, complete. Technician productivity and parts margin become numbers instead of impressions — who is fast, who is thorough, and which jobs are actually profitable once parts cost is counted.
